These Terms & Conditions apply to the (use of the) Hartley app (the app). By creating an account with Hartley, you agree to the following Terms & Conditions. Please read them carefully before using the app.

1. About Hartley & User Eligibility

By accessing or using our app, you agree to be bound by these Terms. If you do not agree, please do not use the app.

HARTLEY TECHNOLOGY LIMITED is registered in England and Wales (Company number 16471418) and our registered address is Davidson House, The Forbury, Reading, Berkshire, RG1 3EU, United Kingdom.

1.2 What is Hartley?

Hartley is a mobile-first home management app designed to help households stay organised, save time, and reduce mental load. The app enables users to:

  • Upload and manage home-related documents

  • Set smart reminders

  • Track household tasks

  • Collaborate with a partner or household member

Currently, Hartley is available as a mobile app on iOS and Android devices only.

1.3 Eligibility

To use the Hartley app, you must:

  • Be at least 18 years of age

  • Be a resident of the United Kingdom

By signing up, you confirm that you meet these eligibility criteria and that all information you provide is accurate and up to date.

1.4 Access and Use

Hartley is free to use at launch. In the future, we may introduce:

  • Paid features or subscriptions

  • Optional services connected to external providers (e.g. home services or lead generation)

We will always provide clear notice before adding any paid elements or third-party services.

1.5 Account Deletion

Users can delete their Hartley account at any time via the app.

  • Deletion is immediate and permanent.

  • All user data, including documents, tasks, and profile information, will be removed from our systems as part of the deletion process.

2. Data Handling & Privacy

2.1 What We Collect

Hartley collects personal data to provide and improve your household management experience. This includes, but is not limited to:

  • Your name, email address, and home address

  • Household-related information

  • Uploaded documents (e.g. insurance policies, utility bills)

  • Tasks and reminders you create

  • App usage and interaction data

We collect this information solely to support the services offered within your household environment and to enhance the functionality and intelligence of the app.

2.2 Use of Third-Party Services

We use secure third-party cloud hosting providers to store and manage your data. These services help us run the Hartley app efficiently and reliably. We ensure these providers comply with data protection regulations and best practices.

2.3 No Selling or Sharing of Your Data

We do not sell or share your personal data with any third parties. All household data you provide is used exclusively to offer personalised features and services within your Hartley household account.

2.4 Data Deletion

When you delete your account, all associated data, including your documents, tasks, profile information, and household content, is permanently deleted from our systems. We do not retain backups or archives of your personal data after deletion.

2.5 Use of AI & Smart Features

Hartley includes a smart assistant that uses AI to respond to your questions and requests. To provide relevant and helpful answers, Hartley may access:

  • The documents you upload

  • Household and user information you provide

This AI functionality operates within your household context and is designed to keep your data secure, private, and useful only within your account.

3. User Responsibilities

3.1 Acceptable Use of Uploaded Documents

Hartley is designed to help you manage your household more effectively. To ensure the platform remains safe and useful for all users, you agree that:

  • You will only upload documents that are directly related to your household (e.g. insurance policies, utility bills, warranties, invoices, service receipts).

  • You must not upload any illegal, harmful, abusive, defamatory, or copyrighted material without permission.

  • You must not use Hartley to store or distribute documents that are unrelated to household management.

  • You will not use the app for any unlawful purpose, to harass others, distribute viruses, or attempt to hack our systems.

We reserve the right to remove content and/or restrict account access if these conditions are violated.

3.2 Household Sharing and Permissions

Hartley allows you to invite one additional person (e.g. a partner or spouse) to join your household.

  • Both users have equal access rights to the household’s shared content, including tasks, documents, reminders, and assistant interactions.

  • There is no designated “primary” or “secondary” user; each user has full visibility and control over shared data.

You are responsible for ensuring that any person you invite understands and complies with these Terms & Conditions.

3.3 Use of the Hartley Assistant (AI Disclaimer)

Hartley includes an AI-powered assistant that helps answer questions about your household documents, reminders, and tasks.

While we strive to provide helpful and accurate information, the assistant is:

  • For informational and organisational purposes only

  • Not a substitute for professional advice (legal, financial, insurance, medical, or otherwise)

  • Based on the information you upload or provide, which may be incomplete or out of date

We do not accept liability for decisions made based on the assistant’s responses. You should always consult a qualified professional before acting on any important matter.

4. Legal Protections

4.1 Governing Law

These Terms & Conditions are governed by the laws of England and Wales. By using the Hartley app, you agree that any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.

4.2 Limitation of Liability

Hartley is provided on an “as-is” and “as-available” basis. While we strive to offer a reliable, intelligent service, we do not guarantee that the app or assistant will always be accurate, complete, or free from interruption.

To the fullest extent permitted by law:

  • Hartley will not be liable for any loss or damage arising from missed reminders, inaccurate or incomplete responses from the AI assistant, AI hallucinations, data loss, or any consequential damages that may arise from use of the app.

  • Users are solely responsible for how they interpret and act upon the information provided in the app.

You agree not to hold Hartley liable for decisions made based on app content or assistant output.

4.3 Intellectual property

All content and features of the app are our property. You retain ownership of content you upload but grant us a worldwide license to use it to operate and improve the app.

4.4 User Feedback & Suggestions

We welcome your feedback and ideas for improving Hartley.

  • By submitting suggestions, feedback, or feature requests within the app, you grant Hartley a non-exclusive, royalty-free, and unrestricted right to use, adapt, or implement those ideas in any form.

  • This helps us continue to improve the app for all users, without any obligation of compensation or credit.

5. Changes, Termination & Enforcement

5.1 Changes to These Terms

We may update these Terms & Conditions from time to time to reflect changes to our services, technology, or legal obligations.

  • Any updates will be communicated to users through an in-app notification.

  • Continued use of the app after changes have been posted indicates your acceptance of the updated terms.

  • Changes take effect immediately once published in the app.

5.2 Suspension or Termination of Use

We reserve the right to suspend or terminate access to your Hartley account if we reasonably believe you have violated these Terms & Conditions. Reasons for suspension or termination include (but are not limited to):

  • Uploading prohibited or unlawful content

  • Misusing household data or accessing another user’s information without permission

  • Abusing or attempting to manipulate the AI assistant

  • Repeatedly exceeding fair use limits set to maintain service performance

If your account is suspended or terminated, you may lose access to all data stored within your household account, and we may delete your documents and associated content as part of that process.
